Kawana Junior Rugby League (“we”, “us”, “our”) operates the website kawanajrl.com.au (the “Site”). This Privacy Policy explains how we collect, use, disclose and safeguard your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

- Contact details — your name, email address and phone number when you contact us by email, phone or social media, or enquire about playing, volunteering or sponsorship.
- Communications — records of correspondence when you contact us.
- Registration details — player and parent/guardian names, contact details, dates of birth, and medical and emergency contact information. Player registrations are handled through the NRL’s MySideline platform (playrugbyleague.com), and we receive registration information from that platform to administer teams, competitions and player safety. MySideline is operated by the National Rugby League — see the NRL Privacy Policy for how it handles your information.
- Volunteer and official details — names, contact details, coaching accreditations and Working with Children Check (blue card) details for coaches, officials and volunteers, as required under Queensland law.
- Technical data — IP address, browser type, device information and pages visited, collected automatically through standard web server logs and any cookies described in our Cookie Policy.
2. How We Collect Information
We collect personal information:
- Directly from you (or, for junior players, from a parent or guardian) when you contact us, register, volunteer or purchase merchandise.
- Through the NRL’s MySideline registration platform and rugby league governing bodies, including Queensland Rugby League and Rugby League Sunshine Coast.
- Automatically through standard server logs and cookies when you browse the Site (see our Cookie Policy).
3. How We Use Your Information
We use personal information to:
- Administer club registrations, memberships, teams and competitions.
- Communicate with players, parents, volunteers, sponsors and supporters about club activities, games, training and events.
- Ensure player safety, including managing medical and emergency contact information.
- Meet our obligations to the NRL, Queensland Rugby League and Rugby League Sunshine Coast.
- Respond to enquiries and fulfil merchandise orders.
- Improve the Site and our club communications.

- Rugby league governing bodies — the NRL, Queensland Rugby League and Rugby League Sunshine Coast, for player registration, competition administration and insurance purposes.

- Legal and regulatory bodies — where required by law, including Queensland’s child-safety screening authorities.
Some of our service providers (such as Google, whose mapping and font services are used on the Site) may store or process data outside Australia, including in the United States. We take reasonable steps to ensure overseas recipients handle your information in accordance with the APPs.
We do not sell your personal information.
5. Cookies and Tracking Technologies
The Site uses a small number of cookies and similar technologies, primarily those needed for the Site to function and those set by embedded Google services (such as Google Maps). 6. Children’s Personal Information
As a junior sporting club, we collect personal information about children primarily for registration, participation and safety purposes. This information is collected from, or with the consent of, a parent or guardian. We handle children’s information with particular care and only use it for club-related purposes.
Photographs and video — images of players may be taken at games, training and club events for use on the Site, club social media and newsletters. Consent is sought from parents and guardians as part of the player registration process. A parent or guardian may withdraw consent, or request that a particular image be removed, at any time by contacting us using the details below — we will action the request promptly.
7. Data Security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These include SSL encryption on the Site, secure hosting, and limiting access to personal information to committee members and officials who need it for club purposes. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain personal information only for as long as necessary to fulfil the purposes outlined in this policy, or as required by law or by rugby league governing bodies. When no longer needed, information is securely deleted or de-identified.
9. Access and Correction
You may request access to, or correction of, the personal information we hold about you by contacting us using the details below. We will respond within a reasonable period. We do not charge for making a request or for correcting information, though we may charge a reasonable fee for providing access.
10. Club Communications
If you receive club emails or newsletters, you can opt out at any time using the unsubscribe link in the email or by contacting us. We will action opt-out requests promptly.
11. Third-Party Links
The Site contains links to third-party websites, including the NRL’s MySideline registration platform and the websites of our sponsors. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.
